Privacy Policy

This Privacy Policy explains how Brightwing Systems, LLC ("Brightwing Systems", "we", "us") collects, uses, and shares information when you use BrainTrellis (the "Service"). We designed BrainTrellis to be a private place for your notes, and we collect only what we need to run it.

1. Information we collect

• Account information — your email address, display name, time zone, and authentication details (including via Google sign-in if you choose it).
• Your Content — the notes, tags, checklists, links, and any images or video you capture, plus metadata such as timestamps and the capture channel.
• Phone number — if you enable text capture, the mobile number you connect and the messages you send to the Service.
• Payment information — handled by our payment processor (Stripe). We receive confirmation of payment and limited details (such as the last four digits and status); we do not store full card numbers.
• Technical data — limited logs (such as IP address, device/browser type, and error diagnostics) needed to operate, secure, and debug the Service.

2. How we use information

• to provide, maintain, and secure the Service and your account;
• to capture, store, search, and display your notes;
• to send you transactional messages (such as confirmations and reminders you set);
• to process payments and prevent fraud and abuse;
• to comply with legal obligations and enforce our Terms.

We do not sell your personal information, and we do not show you third-party ads.

3. Optional AI features

AI-powered features (such as auto-tagging or natural-language reminders) are off by default. If you turn them on, the relevant note content is sent to a third-party AI provider to generate the result. We use providers under a no-training and limited-retention posture where available. You can disable these features at any time.

4. How we share information

We share information only with service providers ("subprocessors") that help us run the Service:

• Messaging — to send and receive SMS/MMS and other messages;
• Payments — Stripe, to process your purchase;
• Cloud hosting & storage — to host the application and store media;
• Email delivery — to send transactional email;
• AI providers — only when you enable AI features (Section 3).

We may also disclose information if required by law, to protect rights and safety, or in connection with a merger, acquisition, or sale of assets (with notice where required).

5. Data retention & deletion

We keep your information for as long as your account is active or as needed to provide the Service. You can delete individual notes (which are soft-deleted, then purged) and you can request deletion of your account and associated data by contacting privacy@braintrellis.com. We may retain limited records where required for legal, accounting, or security purposes.

6. Your rights

Depending on where you live (for example, under GDPR or US state privacy laws), you may have rights to access, correct, export, or delete your personal information, and to object to or restrict certain processing. To exercise these rights, email privacy@braintrellis.com. We will respond as required by applicable law.

7. Security

We use technical and organizational measures to protect your information, including encryption in transit and access controls. No system is perfectly secure, so we cannot guarantee absolute security; please keep your credentials safe and keep copies of anything critical.

8. International users

We operate from the United States, and your information may be processed there and in other countries where our providers operate. Where required, we rely on appropriate safeguards for international transfers.

9. Children

BrainTrellis is not directed to children under 18, and we do not knowingly collect personal information from them. If you believe a child has provided us information, contact us and we will delete it.

10. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we will take reasonable steps to notify you. The "Effective" date above reflects the latest version.
